CINC is bringing the CINC ecosystem together under a single platform, single login, and introducing two new Cephai skills designed around the real work community managers do every day: email and architectural review requests.

 

What is changing

Beginning in June, CINC is introducing a more connected experience. Users will log in once and have access to every Cephai skill, every CINC workflow, and a shared view of what needs attention across the portfolio, all without opening a second system or managing another login.

That means less jumping between tabs, fewer extra credentials to track, and a clearer picture of what Cephai has already handled, what is waiting for your review, and what still needs a human decision.

This updated navigation and single sign-on experience will benefit CINC clients broadly, including teams that are not yet using Cephai-powered workflows.


 

AI terms you’ll hear CINC use, plainly explained

Already proven in your industry

Cephai is not new. CINC has been building and running AI capabilities since 2023, and the results are already in market.

HOA Alabama has processed more than 14,000 invoices using Cephai across 108 associations, cutting the time required to enter, code, and review each invoice by more than 50%. Their accounting team now focuses on exceptions, the unusual, high-judgment cases, instead of processing every transaction manually.

If your team spends a significant part of the week in email, reading, triaging, prioritizing, drafting, and following up, Communications was built for that work. In a survey of 500 community association managers, more than 60% reported spending over half their work week managing email.

Here is how it works

When an email comes in that relates to community rules, policies, or governing documents, Cephai reads it and drafts a reply grounded in the community’s own documents and policies — not a generic template. You review the draft, make any changes you want, and send it. Nothing goes out without your approval.

Support for additional email types, including account and financial inquiries, is planned for a future release. CINC will share more as that expands.

Beyond individual messages, Communications also helps leadership see across the portfolio. Which communities are generating the most inbound volume? Where are the urgent or escalating situations? Visibility into that sentiment is hard to get when email is scattered across individual inboxes. Cephai surfaces it in one place.

Anyone who manages the architectural review process knows the back-and-forth: a homeowner submits an incomplete request, you send it back for more information, they resubmit, the committee still has questions. Today, these workflows can take four or more weeks when requests are incomplete or require repeated follow-up. It is a slow loop that frustrates everyone involved.

ACC Requests is designed to compress that process from weeks to days. When a homeowner submits a request through CINC Connect — the resident-facing app — Cephai uses the community’s governing documents to identify the applicable guidelines and helps the homeowner submit a more complete, better-aligned request before it ever reaches the management company or committee. Residents get a clearer path to submission. Managers get more complete requests and fewer rounds of follow-up. The result is fewer incomplete submissions, less avoidable back-and-forth, and a faster path to review.

Your data stays yours

Your data is never used to train shared AI models. Corrections your team makes within Cephai improve performance for your communities only. That learning does not flow to other management companies or get shared with anyone else.

Every action Cephai takes is logged. Every recommendation shows you what it was based on. You can always review, trace, and correct what Cephai has done.

CINC holds both SOC 2 Type II certification and Veracode Verified status, the same security standards your accounting and banking workflows depend on today.


 

What is available and when

The new unified Cephai portal, including single sign-on and universal navigation, will begin rolling out to all CINC clients in June. Communications and ACC Requests are currently in client testing and will be available more broadly in June as well.

Cephai is available in two packages:

•    Cephai for Managers includes Communications, ACC Requests, and Budget Management.
•    Cephai for Finance includes Invoice Coding, Accounts Payable Payments, and Recurring EFT Reconciliation.

Existing Cephai clients will receive new capabilities within their package as they become available.

To make this new unified experience possible, CINC is moving clients to a model that updates how homeowner information is stored across CINC. This model creates individual contact records for each person, making it easier to manage names, emails, roles, and communication preferences across properties. This data foundation supports single sign-on, future homeowner portal improvements, and Cephai-powered workflows. CINC will work with clients to review and prepare data as part of the transition.
